Organizing a Photowalk
Organizing a photowalk is as easy as becoming a member. All you need to organize your own photowalk is a location, a date and a time.
Let’s look at each of the essential elements in detail.
Location
The most important part of organizing a photowalk is the location. A photowalk can be held anywhere, but if you want people to sign up and join you on it you need to make sure the location is interesting enough to photograph. You will also need to know the location well enough to show people who may not have been there before, good spots to take photos. It’s also worth bearing in mind when thinking about a route, places to get snacks or a drink and where toilet breaks can be taken.
When you have the location for your photowalk, you need to think about the route you are going to take people. You don’t have to have the exact route mapped out, but you should have at least a good idea of where you’re going to go.
Date
Choosing a date for a photowalk can be tricky. Choose a date too close and you won’t have time to get the word out and people will probably have already made plans. Too far away, people may forget. It’s also hard because you don’t know what the weather is going to be like on any particular date. Setting a date roughly a month in the future seems reasonable. If the weather turns bad, you can always reschedule.
Time
Don’t choose a time too early in the morning, some people might have to travel quite far to get to the location you’ve chosen. Too late, people may also have a long way to get home too. Sometime around midday is good.
Putting it altogether
The above are only suggestions, it’s your photowalk after all and you’re free to organize it in any way you wish. The number of people who sign up for your walk will heavily depend on the decisions you make. Once you have all that decided on and assuming you have already signed up as a member and logged in, you can start organizing your walk on photographymeetup.com
Follow these steps to organize your photowalk:
Navigate to the Events in our Clubhouse and click +Add.
Follow the instructions on the screen; save as draft and double-check everything before you publish and announce a new photowalk.
Upload a (square) cover image.
Enter the Event Name for your walk, that contains the subject of the photowalk.
Enter your chosen date, start and end time.
Enter a starting location, this should be the meeting point. Start typing an address or town/city and select an option from the list that closely matches where you want the meeting point to be. You can also set an exact location, see: https://www.heylo.com/help/location
Enter a good description, include as much detail as you can. Such as where or if you plan to stop off for food or drink. If it’s not obvious from the map where exactly you should be meeting, include more detail here.
In the description you can use the following mark-up for **bold**, *italic*, and ***bold-italic***.
For Registration, just enable ‘Going -Free’ and ‘Not Going’, uncheck the ‘Interested’ option.
In Advanced you can enable a waitlist if you want to set a maximum number of people you would want to sign up. If you don’t mind how many people come, you can leave this field unchecked for unlimited.
Check the Enable the Event Chat option.
For New Attendees, change this to ‘Request to join’ as we don’t want spammers to join our events.
Safe a draft and double check all the details.
When all details are complete, you can publish and announce your event!
View the page of your photowalk and check it again; This is what other members will see if they happen to find your walk (minus the action links). From this page you can share your walk on social media.
Anybody who wants to attend your walk will have to become a member of the group first.
Things to remember
You are organizing a walk for free, so you are not obliged to provide anything during the walk unless you want to. Your sole responsibility is to show people around an area you are familiar with and meet new people. If you want to offer anything extra, you can, but if you put it in the long description you should honor anything you promise.
You will possibly be meeting up with people that you haven’t met before, please be courteous and welcoming. Try if you can to get to know the people that sign up, follow them on Twitter or Facebook and start a conversation. This site was designed to be a community. Any unacceptable behavior from either an organizer or an attendee will be banned from the site.
On the day of the walk, share your mobile number with the attendees. If someone gets lost they will need a way to contact you. The larger the group the harder it will be to keep track of everyone, maybe print out a map with meetup points marked on it (pubs make great meeting points) and give them out.
Lastly, try to make it fun, make friends and take great photos.

Attending a Photowalk
If you find a photowalk you want to attend either through the site’s find page or a link shared on social media, signing up to attend is as simple as clicking a link. Before you do though, make sure you really are going to be able to attend on the date and time specified on the photowalks page. Some photowalks have limited spaces and it’s unfair to take a place if you’re not going to be able to attend. If you still want to attend click the sign up link on the photowalks page.
Anybody who wants to attend a photowalk will have to become a member of the group first.
Photowalks are open to all members and don’t require any payment to participate.
Things to remember
The photowalks on photographymeetup.com are provided for free, by people volunteering to show possible strangers around their local area.
The organizers are not expected to provide anything, other than what is specified in the description on the photowalk page. If the description doesn’t mention a stop for food, there probably isn’t one. Either bring your own food or drink on the day or contact the organizer to confirm.
Meet interesting people, have fun, drool over other people’s cameras and take great photos.
SAFETY
This is important. When signing up for a photowalk, you are agreeing to meet people you may not have met before. Please take appropriate precautions, make sure someone knows where you are going and who you are meeting. Have a mobile phone with you and make sure it is fully charged. Try to connect with the organizer and other attendees via social media before the walk and get to know who you will be meeting.
As per the terms of service that was agreed to when becoming a member of photographymeetup.com, this site cannot be held responsible for the interactions that happen in the real world, it is your own responsibility to take the correct precautions.
General Notes
Inappropriate or abusive behavior from any party will not be tolerated and will result in the banning from this site. Please report any incidents of inappropriate or abusive behavior by sending an email to info@photographymeetup.com and it will be dealt with as quickly as possible.
